Quick question for a Wednesday: how many finished jobs did you forget to bill last month?

If you run a trades crew, the honest answer is usually “at least one.” Not because you’re careless — because the business is living in your head. Quotes are mental notes, appointments are text messages, and invoices are on a carbon pad in the truck. Today’s story is about a three-person Fairfax HVAC-and-handyman crew that moved the whole back office onto a phone and stopped the leaking.

The stack, boiled down

No office. No admin hire. No CRM to babysit. Four apps on a home screen:

  1. Job management — quote in the parking lot, schedule it, invoice before you’re off the driveway. A trades app like Tradify (or Housecall Pro if you want customer-facing online booking) closes the deadliest gap in your business: the space between finishing a job and actually sending the bill.
  2. Payments — customers pay by card straight from the invoice. “I’ll mail a check” goes from three weeks to three minutes.
  3. Accounts payable — vendor bills route to one inbox, get approved on the phone, pay on schedule. Bill handles this so there’s no “did I pay Ferguson?” at 11 p.m.
  4. PayrollGusto runs payroll and files the taxes from your phone in the time it takes to drink a coffee. The Friday you dread becomes ten minutes.

The one to do first

Don’t install all four this week — you’ll stall. Start with the leak that’s costing you the most: the invoice gap. Get quoting-to-invoicing onto your phone so no finished job ever goes unbilled again. That single move is usually worth more than everything else combined, because you’re collecting money you already earned.

Once that’s humming for a couple weeks, layer in payments, then payroll, then AP. One tool at a time, each closing a leak you can measure.

Pull up your phone and count the jobs you finished in the last two weeks. Now count the invoices you actually sent for them. If those two numbers don’t match, you just found the first thing to fix — and it’s the fastest raise you’ll give yourself all year.
