Quick question for anyone running a nonprofit, a church, a booster club, or any organization that depends on people showing up and giving.
How many email addresses do you have right now, across every spreadsheet, sign in sheet, event registration, and inbox folder? Not the number you email. The number you have.
For most of the DMV organizations we work with, the second number is three to five times the first one. Hundreds of people who raised their hand once and never heard from you again, not because you did not care, but because the list was never in one place and email was never anyone’s job.
That gap is the cheapest growth you have
You do not need more awareness. You already earned it. You need to consolidate the names and send on a rhythm.
Today’s post ranks the tools that actually work at nonprofit scale, but the ranking matters less than the sequence. Get the list in one file first. Pick the tool second. Most organizations do it backwards, spend three weeks comparing platforms, and never get to the part where an email goes out.

The short version of the ranking
If you take donations and track them separately from your email list, look at a nonprofit platform that keeps giving history and email together, like the Aplos, Raisely, and Keela family. Being able to email the people who gave last year but not this year, without exporting anything, is worth the setup on its own.
If you are a smaller congregation and the person sending the newsletter changes every few months, ease of handoff beats every other feature. Constant Contact is the one volunteers pick up fastest, and that is the whole ballgame when nobody is doing this full time.

Do this today
Open one blank spreadsheet. Three columns: name, email, last contact or last gift. Then go pull names from every place they are hiding, the event registrations, the volunteer signups, the reply chains, the clipboard in the closet.
Do not clean it. Do not decide who deserves to be on it. Just get it into one file today, and put a recurring monthly reminder on the calendar with somebody’s actual name on it.
That one hour is usually worth more than the next three months of social posting, and you can do it before lunch.
